How To Use The KPI Tracker?

A staple of any accountability is to track your monthly progress. Your target goals vs. actual goals. You can easily do this inside your platform.

KPI Tracker:

A monthly KPI tracker serves as a valuable tool for monitoring and evaluating performance against predefined metrics and goals within a specific time frame. By setting clear targets and comparing them to actual performance, businesses can gain valuable insights and make data-driven decisions. Let's dive into the components of a monthly KPI tracker:

In the top navigation bar, you can find the KPI and click on it.

Date Filter:

Date Range filter in the KPI is help users easily view and analyze data based on specific time periods. The filter includes predefined options such as This Week, This Month, This Quarter, and This Year, along with a Custom Range option for more flexibility.

This enhancement improves data visibility and allows users to quickly focus on relevant KPI activities without manual date selection-Process

Total Active Volume:

The Total Active Volume calculates the total transaction amount across all loans in the KPI Activity Pipeline, under the Processing, Underwriting, Approval, and Closing stages. Pipeline Tracking leads versus Transaction goals by comparing the total lead amount to the Transaction goal amount.

Active Pipeline:

In the activity pipeline tab we can calculate the pipeline transaction details like submitted, processing, underwriting, approved and closing.

Submitted:

  1. The system calculates the count of applications where the Loan Status is "Application Submitted" in the Pipeline Leads tab and sums the total transaction amount for those applications.

  2. Only applications with a valid Application Submitted Date will be included in both the application count and the total transaction amount.

Note : Applications without an Application Submitted Date will not be included in the application count or total transaction amount calculations.

Processing:

  1. The system calculates the count of applications where the Loan Status is "processing" in the Pipeline active tab and sums the total transaction amount for those applications.

  2. Only applications will be included in both the application count and the total transaction amount.

Underwriting:

  1. The system calculates the count of applications where the Loan Status is " Underwriting" in the Pipeline active tab and sums the total transaction amount for those applications.

  2. Only applications will be included in both the application count and the total transaction amount.

Approved:

  1. The system calculates the count of applications where the Loan Status is "Approved" in the Pipeline active tab and sums the total transaction amount for those applications.

  2. Only applications will be included in both the application count and the total transaction amount.

Closing:

  1. The system calculates the count of applications where the Loan Status is "funded" in the Pipeline funded tab and sums the total transaction amount for those applications.

  2. Only applications with a valid funded Date will be included in both the application count and the total transaction amount.

Note: Loans without a Funded Date will not be included in the Closing count or the total transaction amount calculation.

Pull-Through

  1. Compares the Pull-Through Rate between the current month and the same period in the previous month to monitor loan conversion trends effectively.

  2. Displays the percentage difference between current and last month (e.g., +5% vs. last month) to quickly identify growth opportunities and operational performance changes.

Days to close

  1. Compares the average Days to Close between the current month and the same period in the previous month to measure improvements in loan processing speed.

  2. Displays the difference in closing days between months (e.g., -20 days improved) to quickly identify operational efficiency gains or processing delays.

Fall out rate

  1. Compares the Fall-Out Rate between the current month and the same period in the previous month to track changes in loan cancellations or declines.

  2. Displays the percentage difference between months (e.g., -20% improved) to quickly identify improvements in loan retention and approval outcomes.

Note:

  • - Upward arrow - Indicates that the current month’s performance is higher than the previous month’s.

  • - Downward arrow - Indicates that the current month’s performance is lower than the previous month’s.

  •  - Neutral arrow - Indicates that performance remains the same for both months.

The Pipeline widgets

The Pipeline widgets is total counts and performance comparison across Pipeline, Volume, and Units. These help to evaluate progress against monthly production goals configured in the Production Tracker

Pipeline – Potential vs. Goals

  • The monthly pipeline goal is defined in the Production Tracker and represents the target funding volume for the current month.

  • The Potential value is calculated as the total funded amount recorded in the Pipeline tab, which is compared against the monthly goal to measure pipeline progress.

Volume – Transactions vs. Transaction Goals

  • The monthly transaction goal is configured in the Production Tracker and represents the target transaction amount for the month.

  • The Transaction value is calculated as the total Application Started amount in the Pipeline tab, which indicates the overall transaction activity initiated during the month.

Units – Funded Loans vs. Transaction Goals

  • The monthly transaction goal is defined in the Production Tracker and represents the target number of completed loan transactions.

  • The Units value is calculated based on the total number of Applications Started and loans funded within the current month, reflecting overall loan completion performance.

Loan Purpose Mix:

  1. The KPI Dashboard now includes Loan Purpose Mix and an improved Production Tracker, enabling clearer visibility into loan distribution, performance trends, and funded transaction monitoring.

  2. The B2B and B2C tabs provide structured performance segmentation, allowing users to analyze and compare business metrics based on customer type for more informed decision-making.

My KPI Activity Tracker:

  1. In the my KPI Activity Grid table, a trend indicator is used to show performance changes.

    • If the current month’s goal is higher than last month’s goal, an up arrow is displayed.

    • If the current month’s goal is lower than last month’s goal, a down arrow is displayed.

    • If both months’ goals are the same, a neutral (same) arrow is shown.

  2. My KPI is displayed based on activity segmented by B2B and B2C contact types.

  3. Click the Edit icon to set your goal for this month.

  4. Click the "Set Goals" button to establish goals for the KPI.

Marketing Performance:

  • Email Sent option is used to view the percentage comparison between last month’s and this month’s campaigns and  automation sent, as well as the total number of emails sent in the current month.

  • The open rate option is used to view the percentage comparison between last month’s and this month’s email opens, as well as the total open rate for the current month.

  • The click rate option is used to view the percentage comparison between last month’s and this month’s email link clicks, as well as the total click rate for the current month.


B2B & B2C Contact Type
Appointment Set:
The Appointment Set KPI in Accountable CRM helps track how many appointments are created through contact activities. Whenever a user schedules an appointment from a contact, the activity is automatically recorded and reflected in the KPI grid table. Click here to learn more about Appointment Set.

Appointment Conducted:
To monitor the appointment conducted activity data to identify users who select the appointment conducted checkbox during the creation of contact activities. Click here to learn more about Appointment Conducted.

B2C Contact Type:
Pulled Credit:
Each time a credit check is completed and logged as an activity, it is automatically reflected in the My KPIs section under Pulled Credit. Use this KPI to track the number of credit checks performed within a selected period, helping you monitor performance and stay aligned with your targets. Application Sent:
Whenever an application sent is created as an activity, it is automatically captured in the My KPIs section. This KPI allows you to track the number of applications sent within a selected period, helping you measure performance and stay on target. Click here to learn more about Application Sent.

Application Received:
Each time a application received is created as an activity, it is automatically reflected in the My KPIs section. This KPI helps you track the number of applications received within a selected period. Click here to learn more about Application Received.

Asked for Referral:
In Accountable CRM’s KPI section, the Each time this Asked for Referral activity is created, it is automatically reflected in the My KPIs section. This KPI helps monitor referral efforts over a selected period. Click here to learn more about Asked for referral.

Asked for Review:

B2B Contact Type:

Referral Received:
Referral Received in My KPI helps track referrals received from B2B contacts. When a referral activity is created for a contact with the B2B contact type, it is automatically reflected in the My KPI page. Click here to learn more about Referral Received.

Application from Referral:

Funded from Referral:

Application Sent:
Whenever an application sent is created as an activity, it is automatically captured in the My KPIs section. This KPI allows you to track the number of applications sent within a selected period. Click here to learn more about Application Sent.

Custom KPI:
Custom KPI helps track user-defined performance metrics in Accountable CRM. Create and manage custom KPI activities, and the recorded values will automatically be reflected in the My KPI grid table for performance tracking and reporting. Click here to learn more about Custom KPI.
