Integrating HubSpot with AccountableCRM using Zapier enables seamless automation of your HubSpot objects. By connecting both platforms, you can automatically sync newly created contacts in HubSpot to your AccountableCRM account. Follow the step-by-step guide below to complete the integration and streamline your workflow.

Setup Steps
Step 1: Create a Category Field (HubSpot)
In HubSpot, create a Category field with values that correspond to each of your selling system categories. This ensures that new contacts in HubSpot are correctly synced to the appropriate selling system category in AccountableCRM.
In HubSpot, click the gear icon in the top navigation bar, then select Settings.
In the left-hand navigation panel, scroll down to the “Data Management” section. Under this section, click on “Properties” to proceed.
Select the “Create Property” option to set up a new custom field.
In the Property Label field, enter “Category”. This will define the field name that appears inside HubSpot.
Ensure the Object Type is set to “Contact”, and leave the Group as the default value (e.g., Contact Information).
Then click "Field Type"
In the Field Type section, select "Dropdown select" as the input type.
Once selected, a new section will appear to add "Dropdown options"
Click on “+ Add an option” to manually enter each dropdown value, and repeat the step to add all the required options.
Enter the following AccountableCRM Category values one by one:
Once all options are added, click the “Create” button to save the property.
Navigate to the left-hand panel and click CRM → Contacts → Create Contact
Then click "Edit this Form"
Click "Add Properties" from the left side panel to include the custom field.
On the Properties page, search for your custom field "Category".
Select the "Category" field, ensure it is added to your form, then click "Save and Close".
Step 2: Create a New Zap
Login AccountableCRM -> Click Profile icon (Top right Corner) -> Account -> Click Integration
On Integration page, Scroll down to see Zapier Section
After logging in, click the 'Create Workflow' button.
A new Zap creation popup will appear.
Step 3: Set the Trigger App
Click the "Trigger" block in your new Zap.
In the search bar, type and select HubSpot.
Choose a Trigger Event as "Contact Recently Created or Updated".
Click the Sign In button to begin connecting your HubSpot account.
From there, you’ll be prompted to sign in to your HubSpot account.
If you are already logged in to HubSpot in the same browser window, you can ignore this step.
After signing in, select your HubSpot account and click the “Choose an account” button to proceed.
Then, click "Continue"
By default, Zapier will only fetch standard HubSpot fields.
Go to the “Additional Properties to Retrieve” section to include the custom field we created.
From the list of available fields, select the custom property “Category” that you previously created in HubSpot.
After selecting the field, click the “Continue” button to proceed.
Test the trigger to pull a sample record.
Zapier will show only the recent contact records from HubSpot by default.
To view newly added contacts, click the “Find new records” button.
Once the latest records are loaded, select the contact to proceed with testing.
Then, click 'Continue".
Step 4: Set the Action App — AccountableCRM (via Zapier)
Click the "Action" step.
Once the trigger is collected successfully, Zapier will automatically suggest the next action step.
Start typing “AccountableCRM” and select it from the dropdown list once it appears.
Choose the Action Event: Create or Update Contact.
Next, click the “Sign in” button to connect your AccountableCRM account to Zapier.
A pop-up will appear asking for your API Client Key and API Secret Key.
How to Obtain AccountableCRM API Key and Secret Key?
Once the configuration is finished, click 'Continue'
Step 5: Configure the AccountableCRM
Complete all mandatory fields (marked with an asterisk *).Set up the AccountableCRM action using key-value pairs based on your HubSpot fields.
In the value fields, use the dropdown or "/" symbol to map fields from your Salesforce app.
If a HubSpot Field Isn't Listed:
Ensure all Contact fields are mapped correctly, click Continue to proceed.
Step 6: Activate the Zap
Click the “Publish” button.
This will activate your workflow.
Close the Zap window after publishing.
Ensure the workflow is turned ON
Rename the "Untitled Zap" to Push New HubSpot Contacts to AccountableCRM
Step 7: Testing
Ensure the workflow status is set to ON
Go to HubSpot, navigate to the left-hand panel, and select CRM → Contacts → Create Contact to begin adding a new contact.
Fill in the required fields in the form and click the "Create" button.
Navigate to the Contacts menu in AccountableCRM
Refresh the page to confirm whether the contact has been inserted successfully.
Update HubSpot Contact to AccountableCRM
When you update a contact in HubSpot, the changes will automatically sync to AccountableCRM using the same integration flow as contact creation.
To update an existing contact in HubSpot:
Navigate to CRM → Contacts from the left-hand panel.
Search and select the contact you want to update.
Edit the necessary field(s), such as the Last Name.
Example:
Before: Last Name – James
After: Last Name – Thomas
Navigate to the Contacts menu in AccountableCRM
Refresh the page to confirm whether the contact has been Updated successfully.
