How to send Salesforce contacts to AccountableCRM Using Zapier?

Integrating Salesforce with AccountableCRM using Zapier allows you to automate the transfer of Salesforce contact records. By connecting the two platforms, newly created Salesforce contacts can be automatically synced to your AccountableCRM account.

Follow the steps below to set up the integration and streamline your contact management workflow.


What You Need

Before you begin, make sure you have:

  • AccountableCRM access

  • A Zapier account

  • A Salesforce account


Step 1: Create a Category Field in Salesforce

In Salesforce, create a Category field with values that correspond to the Selling System Categories in AccountableCRM. This ensures that new Salesforce contacts are assigned to the appropriate Selling System Category when they are synced to AccountableCRM.

  • In Salesforce, click the Gear icon in the top navigation and select Setup.

  • On the Setup page, click Object Manager.

  • Then find the Contact object record and click on the word Contact.

  • From the left- side navigation, select Fields & Relationships.

  • Click New in the upper-right corner.

  • Select Picklist as the Data Type and click Next.

  • Complete the New Custom Field form as follows:

    • Field Label: "Selling System"

    • Values: "Enter values with each value separated by a new line"

      • Type each of our selling system categories followed by a new line (return)

    • Field Name: "Selling system"

    • Required: We recommend selecting this option to ensure that every new contact is mapped correctly to your AccountableCRM account. If this option is not selected, contacts may be added to AccountableCRM as Uncategorized.

      Our Selling System :
      1. Lead
      2. TBD
      3. Active
      4. Funded
      5. Cancelled
      6. Inactive

  • Click Next.

  • Leave the remaining settings at their default values and click Next.

  • Click Save.


Step 2: Create a New Zap

  1. Log in to AccountableCRM and click the Profile icon in the top-right corner. On Integration page, Scroll down to see Zapier Section

    1. If prompted, click Log in or Sign up to access your Zapier account.

  2. After logging in, click Create Workflow.

  3. A new Zap creation window will appear.


Step 3: Set the Trigger App

  1. Click the Trigger block in your new Zap.

  2. In the search bar, enter Salesforce and select it.

  3. Select a Trigger Event, such as New Contact.

  4. Click Sign In to connect your Salesforce account.

  5. A pop-up will appear asking you to select the Salesforce environment you want to use.

    1. In most cases, select Production.

    2. Then click Yes, Continue to Salesforce.

  6. You will be prompted to sign in to your Salesforce account.

    1. If you are already logged in to Salesforce in the same browser, you can skip this step.

  7. After signing in, the pop-up will ask you to grant access.

  8. Click Allow to authorize the required permissions.

  9. The pop-up will close automatically.

  10. Then, click "Continue"

  11. Test the trigger to retrieve a sample contact record.

  12. By default, Zapier displays only recent contact records from Salesforce.

  13. To retrieve newly added contacts, click Find new records.

  14. Once the latest records are loaded, select the contact you want to use for testing.

  15. Then, click 'Continue".


Step 4: Set the Action App — AccountableCRM via Zapier

  1. Click the Action step.

  2. Once the Salesforce trigger has been successfully configured, Zapier will suggest the next action step.

  3. In the search field, enter AccountableCRM and select it from the dropdown.

  4. For the Action Event, select Create or Update Contact.

  5. Click Sign In to connect your AccountableCRM account to Zapier.

  6. Click Sign In to connect your AccountableCRM account to Zapier.

  7. How to Obtain Your AccountableCRM API Key and Secret Key

    • Open AccountableCRM in a new browser tab.

    • Click the Profile icon in the top-right corner.

    • Copy the API keys listed under the Integration section.

    • Enter the API Client Key and API Secret Key in their corresponding fields in Zapier.

    • Click Yes, Continue to AccountableCRM to complete the connection.

  8. Once the connection is successfully configured, click Continue.


Step 5: Configure the AccountableCRM

  • Complete all required fields marked with an asterisk (*).

  • Configure the AccountableCRM action using key-value pairs based on the fields available in Salesforce.

  • In the value fields, use the dropdown or type / to search for and map fields from your Salesforce application.

  • If a Salesforce Field Isn't Listed:

    1. Click the three-dot menu next to the field.

    2. Select “Custom” from the options.

    3. Enter the field name exactly as it appears in Salesforce, or select the field from the dropdown if it is available.

  • Make sure the Selling System field is mapped to the Category field you created in Salesforce.

  • After all Contact fields are mapped correctly, click Continue.


Step 6: Activate the Zap

  1. Click the Publish button.

    • This will activate your workflow.

    • Close the Zap window after publishing.

2.Confirm that the workflow status is set to ON.

  • After publishing, make sure the workflow is active (ON status).

Rename the workflow to Push New SFDC Contacts to AccountableCRM.

  • Click Untitled Zap.

  • The current Zap name will be displayed as Untitled Zap.

  • Click Rename.

  • Replace the text with: Push New SFDC Contacts to AccountableCRM.

  • Press Enter or click outside and Your new name will be saved.

Step 7: Test the Workflow

  1. Make sure the workflow status is set to ON

  2. Go to Salesforce and create a new contact.

  3. Navigate to the Contacts menu in AccountableCRM.

  4. Refresh the page and verify that the contact has been successfully added.




Sync SFDC Contacts (Modified/Updated) to AccountableCRM

Note : Salesforce does not support both Create and Update actions within a single Zap. You must create a separate workflow to sync modified or updated contacts.

  1. Log in to AccountableCRM and go to Profile → Account → Integration.

  2. Click Create Workflow.

  3. Click the Trigger step

  4. In the search bar, enter Salesforce and select it.

  5. Select Updated Record as the Trigger Event.

  6. Select Updated Record from the Trigger Event dropdown.

  7. Configure your Salesforce account.

  8. Once the configuration is complete, click Continue.

Configure the Update Records

  1. Click the Salesforce Object.

  2. In the search bar, type and select Contact from the list.

  3. After selecting the object, click Continue to proceed.

Test Fields for Update Records

  1. Test the trigger to retrieve a sample contact record.

  2. By default, Zapier displays the most recent Salesforce contact records.

  3. To retrieve newly added or updated records, click Find new records.

  4. Once the latest records are loaded, select the contact you want to use for testing.

  5. Click Continue.
