How to use Mortgage Pipeline?

The Loan Status option under the Pipeline tab is available exclusively for Mortgage users only. This guide walks you through managing your mortgage pipeline on the Scoreboard page. The Pipeline consists of the following menus: Leads, TBD, Active, Funded, Cancelled, and Partners. Each menu corresponds to a specific stage in the borrower journey, helping you track and manage loan progress efficiently.

Pipeline Stages and How to Update Them

  1. Leads

    • Definition: Initial conversations with potential borrowers who have not started or completed an application.

    • How to Add:

      1. Click Add (or Edit) Contact. To add contact click the "+ Add lead" in the pipeline tab.

      2. In the contact popup, Choose a contact or create a new contact. Enter the potential loan amount in the "Transaction Potential" field and save the contact.

    • Create Follow Ups in Leads Tab

      • In the Follow-Ups column, click Set Follow-Up to create a new follow-up for a contact. If a contact already has an existing follow-up, click the Edit icon to modify the follow-up date as needed.

      • Once scheduled, the Follow-Up Date will be displayed in the Follow-Ups column for easy tracking and visibility.

  2. TBD

    • Definition: If a contact has a loan status of "application started" or "submitted" and it is tied to the role "borrower," it will be displayed in the pipeline tab.

    • How to Add:

      • From the Quick Action button, select Transaction to open the modal popup and create a new transaction.

      • Add the transaction, Input the loan amount. And set the "Loan Status" to Application Started or Application Submitted.

      • Automatic Update: Once a Contact's transaction loan status is marked as Application Started or Application Submitted, they are automatically moved to the TBD tab.

  3. Active

    • Definition: Borrowers with loans marked as "processing", "Conditional Approval", "Underwriting", "Clear To Close", and "In Docs" in any of the Loan Status fields.

    • Automatic Update: Once a borrower’s loan is marked as processing, they are automatically moved to the Active tab.

  4. Funded

    • Definition: Completed loans that have been funded.

    • Automatic Update: When a loan is marked as "Funded" in the Loan Status field, the "Funded Date" becomes mandatory.

    • The funded amount is also added to your production tracker on the scoreboard.

  5. Canceled

    • Definition: Canceled or Declined Loans.

    • Automatic Update: When a loan is marked as "Canceled" or "Declined" in the Loan Status field, the borrower is moved to Canceled.

  6. Partners

    • Definition: The Buyer Agent is categorized as a Pipeline Referral Partner

    • Automatic Update: During transaction creation, any contact assigned with the role of Buyer’s Agent will automatically be categorized as a Pipeline Referral Partner.

  7. Search Bar to the Pipeline Tab

    • A search option is help users quickly find transactions and contacts.

    • Supports searching by key fields such as borrower/contact name, transaction/loan ID, and property address.

  8. Advanced Filter

    • Users can quickly filter pipeline data based on predefined time ranges or select a custom date range as needed. The filter is accessible directly within the Pipeline view for quick and efficient data analysis.

    • Users can set a Custom Date Range, In the modal popup by selecting a quick action or manually choosing the From and To dates, then clicking the Apply button.

    • Click the Filter option to refine your data. Enter the field name, choose the desired condition, and click the Apply button.

    • The contacts list will be displayed based on the selected filter condition.

    • Click the "+" icon or select Add New Segment Group to create an additional condition.

Action Icons

  1. On the Pipeline tab, use the checkboxes to select multiple contacts. And click the pencil icon to update the contact. to click the delete icon to remove the contact
    Click the Export Icon to export the contact data.

  2. Click the Hide icon to remove older loans from the Pipeline view; hidden loans are automatically excluded from active views, reports, and all related calculations.

  3. Click the Show Hidden Items checkbox to display hidden contacts. The hidden contacts will appear in a disabled view, indicating that they are currently inactive or hidden from the active contact list.

Show Company Pipeline Toggle by Company Admin

  1. When logged in as a Company Admin, enable the Show Company Pipeline toggle.

  2. Once enabled, the “Assigned To” column will be displayed in the Pipeline table, allowing you to view the respective user associated with each contact. When the toggle is disabled, the “Assigned To” column will be hidden.

  3. When a Company Admin expand a transaction contact from the Company Pipeline, It will taking to relevant page.
