How to Use A Mortgage Lead Pipeline?

The Lead Pipeline helps you manage and track contacts throughout the lead lifecycle. Contacts are organized into different stages based on their current status, allowing your team to efficiently monitor engagement, follow-ups, and progression through the sales process. Use the pipeline to view, update, and manage contacts as they move from initial lead generation to conversion.

Pipeline Lead Stages and How to Update Them:

  1. Leads

    • Definition: Initial conversations with potential borrowers who have not started or completed an application.

    • How to Add:

      1.  To create a new lead click the "+ Add lead" button  in the pipeline tab.

      2. In the New Lead popup, Create a new contact. Select the Lead source and lead purpose. Enter the "Loan Potential" amount and click save button.
        Note: Loan Potential must be greater than 0. A lead cannot be created if the Loan Potential is set to 0.
        If Lead Source is selected as Referral, you must select an existing referral contact, or create a new referral contact before saving the lead.
        If Lead Source is selected as Event, you must select a event type in the dropdown option.

      3. Once you click Save, your lead will appear in the table. If the lead's Lead Source is set to Referral, the referral contact will also appear in the table.

  2. Create Follow Ups in Leads Tab

    • In the leads tab , click Set Follow-Up to create a new follow-up, activity, or note for a contact.

    • In the follow up modal popup, the Date is automatically set to the current date, and the Next Follow-Up Interval defaults to Day. Enter the required information, then click Save button.

    • If a follow-up already exists, click the Edit icon to update the scheduled follow-up date.

    • When multiple future follow-ups are scheduled, only the nearest upcoming follow-up date is displayed. Once it is completed, the next scheduled follow-up date will automatically appear.

    • Validation checks prevent incomplete Follow-Up, Activity, or Note records from being saved by displaying error messages when required information is missing.

    • Once scheduled, the Follow-Up Date will be displayed in the Follow-Ups column for easy tracking and visibility.

  3. Search Bar to the Pipeline Tab

    • A search option is help users quickly find transactions and contacts.

    • Supports searching by key fields such as borrower/contact name, transaction/loan ID, and property address.

  4. Advanced Filter

    • Users can quickly filter pipeline data based on predefined time ranges or select a custom date range as needed. The filter is accessible directly within the Pipeline view for quick and efficient data analysis.

    • Users can set a Custom Date Range, In the modal popup by selecting a quick action or manually choosing the From and To dates, then clicking the Apply button.

    • Click the Filter option to refine your data. Enter the field name, choose the desired condition, and click the Apply button.

    • The contacts list will be displayed based on the selected filter condition.

    • Click the "+" icon or select Add New Segment Group to create an additional condition.

Pipeline Action Icons

  1. On the Pipeline tab, use the checkboxes to select multiple contacts.

  2. Click the Hide icon to remove older loans from the Pipeline view. Hidden loans are automatically excluded from active views, reports, and all related calculations. Additionally, when importing a contact or creating a new contact, if the Stage value is assigned as “No Sale,” the loan will be automatically moved to Hidden Loans.

  3. Click the Show Hidden Items checkbox to display hidden contacts. Hidden contacts will appear in a disabled view, indicating that they are currently inactive.

  4. Click the "Pencil" icon to update the contact, click the "Export" Icon to export the contact data. and click the "Delete" icon to remove the contact
